5. Cookies and Similar Technologies

Cookies are small data files stored on your device when you visit a website. They help websites remember your preferences, recognise your device and understand how the website is used.

We use different categories of cookies:

  • Essential / Strictly Necessary cookies — required for the website to function (e.g. session cookies, security tokens, load balancers). These are always active.
  • Analytics cookies — help us understand how visitors use the website (e.g. page views, popular pages).
  • Advertising / Marketing cookies — used to deliver relevant ads and measure advertising performance across sites.
  • Functional / Preference cookies — remember your settings such as country, currency or language preferences.

A cookie can contain information such as a user ID that the site uses to track pages you have visited; however, the only personal information a cookie can contain is information you supply yourself. A cookie cannot read data off your hard disk or read cookie files created by other websites.

If you have set your browser to warn you before accepting cookies, you will receive the warning message with each cookie. You may refuse cookies by turning them off in your browser; however, some parts of our website may not function properly as a result.

You can manage your cookie preferences at any time using our cookie consent tool. For full details, see our Cookie Policy.

  • Processing payments, invoicing and managing accounts.
  • Monitoring and improving our internal operations, website and services.
  • Understanding website usage and how visitors interact with our pages, products and pricing.
  • Correlating website traffic information with data about individual users where appropriate, to enhance services and experiences.
  • Directing important account and service notices to you (these may not be opted out of where they are required by contract or law).
  • Where permitted, sending marketing information about products, services, promotions and offers — see Direct Marketing below.

9. Information You Provide When Purchasing Services

We get to know our customers primarily through the information provided when signing up for or using one or more of our services. The information you provide ranges from basic contact information, to payment information, to the technical coordinates of your host servers. All of the information requested when purchasing our services is obligatory unless otherwise noted on the relevant form.

When you purchase our services, you agree to provide and maintain accurate, complete and up-to-date information including your name, email, address and phone. After you have signed up, we may be in communication with you about your account, technical questions or any other matter relating to those services.

For operational and quality-assurance purposes, we take note of whether and how you use the information and services we provide, such as by recording site traffic patterns and maintaining log files of users' access to site files.

10. Security

The information we receive from or about you is stored on systems designed to prevent the loss, misuse, unauthorised access, disclosure, alteration or destruction of that information.

Account passwords are used by customers to access services and are not used or accessed by WingsHoster or its affiliates/partners in any way. Payment card details are processed at the Payment Gateway end by processors who maintain applicable industry compliance standards (such as PCI DSS) and do not retain sensitive information longer than required.

Transmissions within our account manager and purchase flows use Secure Sockets Layer (SSL) / Transport Layer Security (TLS) encryption when transmitting data from your connection to our systems. You may click the lock icon within your web browser to verify the authenticity of any of our SSL certificates.

11. Data Retention

Personal data is not retained longer than is required for the purposes for which it is processed, or as otherwise required under the terms of service or any applicable law, unless ordered to the contrary by a court of competent jurisdiction.

Different categories of information have different retention practices:

  • Visitor analytics and behavioural data — retained according to our defined analytics retention period, after which it is aggregated, anonymised or deleted.
  • Marketing leads and enquiries — retained while the enquiry or relationship is active; deleted or anonymised when no longer required for follow-up or legal purposes.
  • Customer and account records — retained as required for service delivery, accounting, legal, tax and regulatory purposes; and for the duration of any limitation period for claims.
  • Domain registration records — retained for as long as required by the applicable registry, registrar rules and ICANN requirements.
  • Security, fraud and abuse records — retained for as long as necessary to protect our services, users and systems.

12. International Data Transfers

WingsHoster may use service providers, infrastructure providers, payment processors, domain registries and registrars, analytics providers, cloud infrastructure providers and other business partners located in different countries.

As a result, personal information may be processed in countries other than the country in which you are located, including countries that may have different data protection laws from your home jurisdiction.

Where personal information is transferred across borders, WingsHoster will take appropriate measures required by applicable data protection laws, including contractual, organisational and technical safeguards to protect the confidentiality and integrity of your information.

13. With Whom We May Share Information

Domain Registration

Pursuant to arrangements with ICANN and applicable registries, we compile and maintain registration databases that include information about each domain name registered with us, including names, telephone numbers and email addresses of individuals designated as points of contact for a given domain name. Whether applicable domain-name registration fees have been paid may also be publicly accessible.

When you register a domain name through us, we must disclose your domain name and its associated IP numbers to the appropriate registry in order to make your chosen domain name a functional address on the Internet. Certain registries also require that we disclose registrant, administrative and technical contact information to them. Each registry discloses certain portions (and in some cases all) of the information we provide to them about your domain name registration, including TLD zone files and, where applicable, WHOIS data, in accordance with their policies and applicable law.

Vendors and Service Providers

We may share certain information about you with trusted vendors, infrastructure providers and business partners who are responsible for handling your account, processing payments, managing domains, delivering customer support, performing analytics or providing other services that you require. These providers are not authorised to use your information for purposes beyond those specified by us and are required to preserve confidentiality.

Sensitive payment data is processed directly by PCI-compliant payment gateways and is not shared by us with third parties except as required to complete your transaction.

Legal and Law-Enforcement Disclosures

We may disclose information in response to formal legal requests (e.g. subpoena, warrant, court or regulatory order) made in connection with litigation, arbitration, or criminal or regulatory proceedings, or as otherwise required by applicable law. We may also disclose information where necessary to establish, exercise or defend legal claims, or to protect the rights, property or safety of WingsHoster, our customers, our users or the public.

14. Your Privacy Rights

Subject to applicable law, you may have rights to:

  • Request access to personal data we hold about you;
  • Request correction of inaccurate or incomplete information;
  • Withdraw consent where processing is based on your consent;
  • Object to or restrict certain processing of your personal data;
  • Opt out of direct marketing communications at any time;
  • Request deletion of personal data where applicable, taking into account legal and operational retention requirements;
  • Data portability where applicable under law;
  • Make a complaint regarding our handling of your personal information to us, and where applicable to a supervisory or data-protection authority.

To exercise any of these rights, or to correct or change information in our records (such as your address and contact information), please visit WingsHoster or the client area and use the My Details menu, or contact us via email at support@wingshoster.com. If you need assistance or have questions, please contact us at info@wingshoster.com.

15. Accountability

By purchasing our services, you obtain the protections of, and consent to the data processing practices described in, this Privacy Policy. When you purchase our services, you also represent to us that you have provided notice to, and obtained consent from, any third-party individuals whose personal data you supply to us with regard to the purposes for which such data has been collected, the intended recipients or categories of recipients, which data are obligatory and which are voluntary, and how the third party can access and, where necessary, rectify the data held about them.

Employee Accountability

Only WingsHoster employees that have a legitimate business purpose for accessing and handling personal information obtained by us are given authorisation to do so. Unauthorised access or use of such information is prohibited and may constitute grounds for disciplinary action. Our information management systems are configured to block or inhibit employees from accessing information that they have no authority to access.

Agents and Business Partners

Our trusted vendors and business partners are responsible for processing or handling some of the information that we receive. They are not authorised to use such information for purposes beyond those specified by us and are required to preserve confidentiality.

16. Notification of Changes

We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on this page with a revised "Last updated" date, and where required by applicable law we will provide additional notice or obtain consent.

You are responsible for periodically checking our website for changes to this Privacy Policy. Your continued use of our website or services after changes become effective constitutes acceptance of the revised policy.
